Key Responsibilities: Provides administrative support in a variety of functions to the Rescue department.

Duties & Responsibilities: 
  • Review and approve Rescue personnel timesheet in ADP Workforce Now against the Job Order Worksheets.  Following, prepare billing for Rescue jobs and process AR Reports for Rescue Customers.
  •  Prepares purchase orders and maintains purchasing records for Rescue PPE and Rescue Uniforms. Tracks PO’s and addresses any issues relative to PO’s. Maintains and updates the inventory for the Rescue PPE and Uniforms. [Inventories, PPE, Uniforms, Follow-up status Uniforms, PO’s and Tracking]
  •  Sets up and maintains Rescue documents and records using internal data management systems (Training Manager and Share Point) to capture all records control requirements, including maintenance of files and quality assurance.  Will process Utilization Reports for leadership team review. 
  • Assists in the recruitment of potential employees via recruiting website, employee referrals, on-site recruiting and other sources. Reviews applicants and resumes.  Contacts potential candidates and schedules candidate for Rescue Class.  Confirms interview schedules.  [Resume review, Scheduling Rescue Classes] May assist with on-site Fire Department recruitment to recruit qualified applicants for employment. Works with HR and IT team to place advertisements. 
  •  Will maintain ongoing contact with prospective Rescuers and track Rescue candidates post-training class to ensure successful integration into Field Services; Rescue. 
  • Participates in the onboarding of new employees [Onboarding] and coordinates all Site-Specific training for new hires and current personnel.  Maintains training records in company database. [Training Manager, Schedule Site Specifics (US Steel, Safety Council).  Will create training certifications for all internal training. [Create Training Certifications]
  •  Schedule Fit Testing for Rescue personnel when required and monitor Rescue Attendance when staff is assigned to work in the Branch; shop.
  •  Will provide periodic Sales Support Rescue Services and may make Travel arrangements for HW personnel. 
  • Track aged AR to speed up customer payments
  • Back up to Scheduling and Staffing, as needed

  • 1-2 years in an Administrative position (preferably in a Service Industry)
  • High School Diploma

Work Environment & Physical Demands:
  • Working environment consists of an office work space which is conditioned but may encounter various degrees of heat, light and dust.
  • Must be able to sit and work within office environment for majority of the work day. May infrequently lift, up to, 10 pounds. Will need to reach and bend to access files with reasonable accommodation.
  • Must have the manual dexterity to use a computer keyboard and phone.
